Privacy Policy

In short
- Your clients, orders, notes and reminders are stored only on your iPhone. There is no account and no cloud copy.
- AI replies are off until you allow them. When you ask for one, only the text needed for that reply is sent, through our server, to our AI provider (currently DeepSeek). Our server does not store it.
- The keyboard does not record what you type and does not send it anywhere unless you ask for an AI reply.
- No ads, no tracking, no analytics SDKs, and we never sell data.
This policy explains how the Clientboard iOS app and its keyboard extension (together, "Clientboard") handle information. Clientboard is made by Maxnxi ("we", "us"). If you have questions, write to privacy@maxnxi.com.
1. Data stored on your device
Clientboard is a CRM. Everything you enter is saved in the app's storage on your iPhone:
- Clients: name, phone number, messenger username, preferred messenger, tags and notes.
- Orders and deals: title, amount, currency, stage, paid status and dates.
- Follow-ups and timeline: reminders, their status, and the history of activity for each client.
- Quick replies, AI conversations and summaries you choose to keep.
- Settings: currency, language, your AI choice and, if you set one, a PIN (stored only as a one-way hash).
The app and the keyboard share this data through an App Group container on your device so the keyboard can show your clients. This data is not uploaded to us or to any cloud service, and we cannot see it. Clientboard does not currently sync between devices.
2. The Clientboard keyboard
The keyboard asks for Full Access. iOS requires it for a keyboard to share data with its app, to reach the internet and to read the clipboard. Clientboard uses Full Access only to:
- save the clients, orders, notes, follow-ups and payments you create from the keyboard into the app;
- request AI reply suggestions, if you have allowed AI (see section 3);
- paste copied text when you tap a paste button.
The keyboard does not log keystrokes, does not keep what you type in other apps, and does not send your typing anywhere unless you explicitly ask for an AI reply. It reads the clipboard only when you tap paste. iOS automatically replaces third-party keyboards with the system keyboard in password and other secure fields. You can type with the Clientboard keyboard without Full Access.
3. AI features
AI reply suggestions, conversation parsing and summaries are optional and off until you allow them on the consent screen. You can turn AI off at any time in Settings → AI & Privacy; everything else in Clientboard keeps working.
What is sent
Only the content of the request you make: the message you paste or type, the style you choose, and the context for that one client — their name, client type, the open order and your notes about them. Your other clients, your order list and anything else you type are never sent.
When
Only when you tap a button such as Answer or Improve, send a message in the AI chat, or paste a conversation. Clientboard may then use that same conversation to create a short title and summary, which are stored on your device.
Who processes it
Your request travels over an encrypted connection to our server, which forwards it to our AI provider, currently DeepSeek, and returns the answer. Our server does not store the content of your requests or the AI's answers. It logs only technical information such as the number of tokens used and error codes.
DeepSeek processes the request under its own privacy policy. According to that policy, DeepSeek stores data on servers in the People's Republic of China. If we change the AI provider or what is sent, Clientboard will ask for your consent again.
Because the data you send may be about your own customers, please only send what you are allowed to share, and avoid sensitive information such as payment card numbers or health data.
4. Data our server handles
To keep the AI service working and to stop abuse, our server handles a small amount of technical data:

We do not create user accounts and do not ask for your name, email or Apple ID.
5. Other system features
- Contacts: "Fill from Contacts" uses Apple's contact picker. Clientboard does not ask for access to your address book; only the contact you pick is copied into the app.
- Notifications: follow-up reminders are scheduled locally on your iPhone. Nothing is sent to a push server.
- Messaging links: Message buttons open WhatsApp, Telegram, Instagram or Messages with the client's number or username. What happens next is governed by those apps.
- CSV export: creates files on your device that you choose where to share.
- App Store: Apple may share anonymous crash reports and usage statistics with us if you have agreed to share them with developers in iOS settings.
6. What we do not do
- We do not show ads or use advertising identifiers.
- We do not use third-party analytics or tracking SDKs, and we do not track you across apps or websites.
- We do not sell, rent or trade personal data.
- We do not use your data to train AI models.
7. Sharing
We share data only with the service providers needed to run Clientboard: our AI provider (only when you have allowed AI and make a request), the company that hosts our server, and Apple (App Attest and the App Store). We may disclose information if required by law or to protect the rights and safety of users and the service.
8. Keeping and deleting your data
- Data on your device stays until you delete it. You can delete clients and AI conversations in the app, and deleting Clientboard removes all of its data from your iPhone.
- Server data is kept as described in section 4. To delete your device's App Attest record or to ask any question about your data, email privacy@maxnxi.com.
9. Your rights
Depending on where you live (for example under the GDPR in the EU and UK, or the CCPA in California), you may have the right to access, correct, delete or export your personal data, to object to or restrict its processing, and to withdraw consent at any time. Because almost all data stays on your device, you can exercise most of these rights directly in the app. For anything else, contact us and we will reply within 30 days. You may also complain to your local data protection authority.
When you use Clientboard to record information about your own customers, you decide what to store and you are responsible for having a lawful reason to do so.
10. Security
All connections to our server use TLS encryption. Requests to the AI service are accepted only from genuine copies of the app verified by Apple's App Attest. You can protect Clientboard with a PIN. Your device storage is protected by iOS data protection.
11. Children
Clientboard is a business tool and is not intended for children under 13. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this policy as Clientboard changes. We will change the date at the top, and if a change affects what is sent to AI, the app will ask for your consent again.
